How to integrate proposal software with your CRM
Connect proposal software like PandaDoc, Qwilr or Proposify to Salesforce, HubSpot, Capsule and Zoho CRM with UK GDPR rules, field mapping and a five-step plan.
What to take away
- Integration means one system owns each customer field and the other reads or writes it through an API, rather than a nightly spreadsheet export.
- The proposal tool is normally a data processor and your business is the controller, so a written data processing agreement comes before the first sync.
- PandaDoc and Qwilr ship native Salesforce AppExchange and HubSpot marketplace apps, while Proposify and Better Proposals connect through Zapier or Make.
- Test the sync on five live opportunities before you switch it on for the whole sales team.
What integration actually moves between systems
A customer relationship management system holds contacts, companies, deals and activity notes. Proposal software turns those records into priced quotes and signature-ready documents. Integration decides which system owns each field and how edits travel between them.
What integration moves
- CRM holds contacts, companies, deals, notes
- Proposal tool builds priced quotes
- Integration decides field ownership
- Five core records sync both ways
- Price books carry VAT per line
Most connectors move five things: the contact, the company, the opportunity, the quote and the signed PDF. PandaDoc, Qwilr, Proposify and Better Proposals each expose a slightly different quote object, so check the field names before you map. Product catalogues and price books are a sixth, and they are where VAT treatment gets complicated.
If your quotes carry configurable products, bundles or tiered pricing, read what CPQ software does before you choose a connector. CPQ needs a deeper data model than a single quote field, and a thin integration will not carry it.
Quote records also need the right tax treatment before they leave the proposal tool. GOV.UK publishes the current VAT rates for standard, reduced and zero-rated supplies, and the rate has to be set per line, not per deal.
Not every opportunity needs a proposal. Most CRM proposal automation runs from a deal stage change, so decide which stages trigger a document before you connect anything.
How UK CRM platforms handle integration
Route and effort are not the same thing as fit. A platform with a native app can still need field-by-field configuration before quotes and deals line up.

A comparison of CRM systems is worth checking before you shortlist, because some platforms publish an open API and others expect you to buy middleware. In practice, Salesforce and HubSpot have the deepest native connector libraries; Capsule and Zoho CRM rely on Zapier or Make to bridge the gap.
Capsule and Zoho CRM suit smaller UK teams because their APIs are open on lower tiers. Neither ships a native proposal app for every vendor, so middleware platforms such as Zapier or Make (formerly Integromat) usually carry the sync between the CRM and tools like Proposify or Better Proposals.
What UK GDPR requires before you switch the sync on
Your business is the data controller for customer records. The proposal vendor is almost always a processor, acting on your instructions. UK GDPR requires a written contract with that processor before any personal data moves.
The ICO's UK GDPR guidance sets out what that contract must cover, including the subject matter of the processing, its duration and the security measures involved.
Data minimisation matters. Sync the contact, the deal value and the quote status, not every note a salesperson ever wrote. Free-text notes can hold opinions that a prospect may later ask to see.
Ask where the vendor stores data. If servers sit outside the UK, you need a transfer safeguard and a written sub-processor list.
Keep a record of what you sync and why. If a customer asks what you hold, an accurate field map makes the answer quick.
A five-step integration plan
Work through these in order. Skipping the field map is the most common reason a sync produces duplicate records.
- Map fields both ways and record which system owns each one.
- Sign the data processing agreement and list the vendor's sub-processors.
- Connect a trial or sandbox account first, never your live CRM.
- Run five real opportunities end to end and check the PDF, the tax line and the audit trail.
- Switch the sync on for one team, then review duplicates weekly for a month.
Decide early whether the invoice number should flow back from your accounts package, because quoting software and invoicing software solve different problems and only the quote belongs in the CRM sync.
Common questions
Which UK CRM platforms work with proposal software?
Most of them. PandaDoc and Qwilr have native Salesforce and HubSpot apps, Proposify and Better Proposals connect through Zapier or Make, and Capsule and Zoho CRM expose APIs that middleware can reach.
Do I need a developer to connect the two?
Rarely for HubSpot, Capsule or Pipedrive. Salesforce field mapping often needs an admin rather than a developer.
Is a spreadsheet export good enough instead of an API?
Below a few quotes a month, yes. Beyond that, manual exports break the audit trail and risk sending stale prices.
What happens to customer data if we cancel the contract?
The processing agreement should set out deletion or return of the data. Ask for written confirmation once it is done.
